What We Deliver

Our Advisory Services

Investment Decision Records

Standards for documenting every material investment decision — rationale, alternatives considered, authority level, risk assessment, approvals obtained — creating a decision register that protects all parties.

Board Resolution Management

Template resolutions for all standard board decisions, a resolution register, signature tracking and version control — ensuring every significant governance decision has a clear, dated paper trail.

Transaction Documentation

Pre-trade approval records, trade tickets, counterparty confirmations, settlement records and post-trade compliance sign-off — linked and traceable for every transaction in the portfolio.

Document Management Framework

A structured document management system — naming conventions, folder architecture, version control, retention periods and access controls — applied consistently across all fund documentation.

Regulatory Evidence Standards

Documentation structured to meet the evidentiary standards of ADGM/DFSA, FCA, SEC and other relevant regulators — anticipating examination requests and building the file before it is needed.

Audit Preparation Support

We support audit preparation — organising the audit file, anticipating auditor queries, preparing management responses and coordinating document production — reducing audit time and cost.

Our Approach

Built for Real Outcomes

Documentation is not paperwork — it is protection. For investment organisations, the audit trail is the evidence that decisions were made properly, that governance was followed and that the organisation acted in its clients' interests.

We build documentation frameworks that are easy enough to use consistently, and comprehensive enough to withstand scrutiny.

Documentation Standards We Apply

  • Investment decision memos — rationale, alternatives, authority
  • Board minutes — decisions made, dissent noted, next actions
  • Transaction records — pre-trade, execution, post-trade confirmation
  • Compliance sign-off — mandate compliance certified per transaction
  • Version control — all document changes tracked with author and date

Core Documentation Types

  • Investment decision memo template
  • Board and committee minute template
  • Transaction approval and sign-off record
  • Compliance certification template
  • Audit file structure and checklist

Common Documentation Failures

  • Verbal decisions never documented
  • Rationale for decisions not recorded
  • No version control on key agreements
  • Audit file assembled under pressure, post-hoc

How We Work

01

Standards Design

We design documentation standards appropriate to your structure, regulatory environment and governance model.

02

Template Build

We produce all documentation templates — decision memos, resolutions, transaction records.

03

System Design

We design the document management architecture — naming, filing, version control, retention.

04

Audit Readiness

We advise on maintaining audit readiness as an ongoing discipline, not a pre-audit scramble.

Common Questions

Frequently Asked

At minimum: the decision made, the authority who approved it, the rationale, the alternatives considered, the risk assessment, and the date. For significant decisions, a formal investment decision memo should be produced before the decision is executed.
In the UK, regulated firms must typically retain records for 5–7 years. In the UAE (ADGM), 6 years is standard. We design retention schedules as part of the document management framework.
Auditors look for: completeness (is everything documented?), consistency (are standards applied uniformly?), timeliness (were records created at the time of the event?), and authority (is it clear who approved what?). Our frameworks are designed with these four dimensions in mind.
